Venue Hire Terms & Conditions

Effective from 1 July 2026 · Eswatini Investment Promotion Authority

These Terms and Conditions govern the hire and use of facilities at the Mavuso Trade Exhibition & Sports Centre, operated by the Eswatini Investment Promotion Authority (EIPA). By submitting a booking application, the Hirer agrees to be bound by these terms.

Booking & Payment

Provisional holds, deposits, and payment timelines

All bookings are provisional until the required deposit is received. The payment schedule is as follows:

Deposit

50%

Due within 7 calendar days of submission. Non-payment results in automatic expiration.

Balance

50%

Due no later than 14 calendar days before the main event start date.

Damage Bond

Refundable deposit and inspection requirements

Every booking carries a mandatory, refundable damage bond designed to ensure the venue is returned in its original condition.

E5,000.00

Refunded within 7 business days after a satisfactory tripartite post-event inspection signed off by the Security Officer, Host Organization representative, and Team Official.

Cancellation Policy

Tiered refund calculations based on notice period

Cancellation refunds are calculated based on the number of days remaining before the main event start date:

30+ days before event

Maximum flexibility

Forfeit deposit only

15–30 days before event

Partial penalty

50% of total hire fee

Less than 14 days

No refund

100% forfeited

Venue Access

Setup, event, and clearing window terms

The Hirer is granted access to the venue during the agreed periods specified in the booking application:

  • Preparatory (Setup) — for installation, decoration, and technical setup.
  • Main Event — the core event duration as specified.
  • Clearing (Breakdown) — for removal of equipment, cleaning, and restoration.

Any access outside these windows requires prior written approval from EIPA management and may incur additional charges at the standard hourly rate.

Safety & Compliance

Security thresholds, fire safety, and venue-specific rules

Mandatory Security Threshold

Events exceeding 100 projected attendees require mandatory security coverage, automatically applied to the invoice at E2,500.00.

Fire Safety & Pyrotechnics

All setups must include a fire safety plan. Open flames and pyrotechnics require prior written approval from EIPA management.

Liability & Insurance

Risk allocation and insurance obligations

The Eswatini Investment Promotion Authority (EIPA) shall not be liable for any loss, damage, injury, or delay arising from the Hirer's use of the facilities, except where such loss or damage is directly caused by EIPA's gross negligence or willful misconduct.

The Hirer is responsible for:

  • Maintaining adequate public liability insurance for the duration of the event
  • Any damage to venue property, fixtures, or equipment beyond normal wear and tear
  • The conduct and safety of all attendees, contractors, and subcontractors
